Community Accounting Administrator

Our Community Accounting Administrator provides accounting and tracking assistance to the community accounting department.

What you’ll accomplish:

  • Review financial statements for accuracy and completeness, ensuring errors or discrepancies are identified.
  • Working directly with GL accountant and AR representative in preparation for budget variances, monthly financials, delinquency reports, timely vendor payments and year end audits alongside Executive Director and appropriate team members
  • Ensuring accuracy of service area billings
  • Working closely with AR representative to ensure Collection Policy is being enforced and delinquent accounts are being timely moved to Collections (with attorney).
  • Working closely with AR representative and Association attorney on Collections, lien filings and preparing monthly status reports for the Board
  • Following up on outstanding homeowner balances
  • Ensuring account setup accuracy
  • Oversight of billing and coding for the Residential Association and Commercial Association expenses.
  • Oversight of all Cost Share Agreements and verification of proper billing to each entity.
  • Assist with coding of invoices
  • Process and reconcile homeowner, builder and commercial owner assessments payments, ensuring accuracy and timely posting
  • Participating in standing meetings with Board and team related to the position, including Finance Committee Meetings
  • Monitor expenditures to ensure adherence to the budget and flag discrepancies.
  • Budget Oversight and Facilitation of Annual Budget process
  • Other duties as assigned related to this position
  • Ensure compliance with HOA governing documents, policies, and state regulations.

What we’re looking for:

  • A minimum of two years of experience in accounting department; accounts receivable, accounts payable or general ledger
  • Basic knowledge of accounting reports and functions
  • Basic knowledge of general ledger accounting processes
  • Basic knowledge of accrual basis and cash basis accounting
  • Homeowners’ association experience preferred
  • Ability to communicate effectively both orally and in writing
  • Ability to establish and maintain effective working relationships with site teams, vendors and co-workers
  • Ability to handle sensitive information with discretion.
  • Intermediate knowledge of Microsoft Excel
  • Strong multi-tasking and organizational skills
  • Ability to prioritize workload
  • Must pass pre-employment drug screen and background check

.The physical requirements can vary, but generally, they may include:

  • Lifting and Carrying: Occasionally lifting and carrying supplies or equipment up to 25 pounds.
  • Extended Sitting or Standing: Capability to sit or stand for extended periods during meetings or events.
  • Manual Dexterity: Skills in using technology, including computers and mobile devices.
