Our Operations Coordinator will serve as an integral part of the community and will have significant interaction with the community’s Board of Directors and homeowners. They will play a crucial role in executing our company’s purpose statement: We build community by bringing people together in the neighborhoods where they live and, in the offices, where we work. About the Community:

This community is planned as three distinct districts. Each is informed by the character of the land and all are linked by trails to unique destinations — through the woods, along the water, to parks, pools and places to gather. Each district introduces a variety of new ways to live - with new ideas about the meaning of home, and the relationships between health and wellness, art and nature, together and togetherness. What you’ll accomplish:

  • Assist Community Manager in all aspects of daily business and operations to maintain the management direction of the community association
  • Interact with community residents and volunteers
  • Issue amenity access and manage access system programming
  • Track leased units within the community
  • Maintains all association records as required by the governing documents, federal and state law and CCMC protocol
  • Works with Community Manager to ensure proper documentation of contracts, invoices and other expenses
  • Oversee daily office functions, answering phone, email, and assisting with walk-in guests, ensuring that the needs and requests of the residents are dealt with in a timely and professional manner
  • Assist the Community Manager with meeting preparation and administration of the annual operating and reserve budgets
  • Assist in new owner orientations and training of Board(s) and committee members
  • Assist Community Engagement Officer with Resident engagement events, some after business hours
  • Assist team with obtaining Certificates of Insurance, W9's, and setting up vendors
  • Work with Community Engagement Officer to setup vendors for Resident Engagement Events
  • Complete community inspection drives with the assistance of the Community Manager
  • Editing and keeping track of community calendar
  • Answering phones and handling community's generic email to reply or distribute to correct team members
  • Assist with content calendar and social media or community app posts
  • Other duties as assigned

What we’re looking for:

  • Associate’s or Bachelors' degree or equivalent experience
  • Attention to detail and a customer focused attitude
  • Ability to multi-task on a variety of levels with the utmost of focus and professionalism
  • Knowledge of community association management principles, procedures, and standards
  • Have a valid driver’s license and current vehicle liability insurance
  • Ability to flex schedule for occasional after hours events

If driving is, or becomes, a requirement of the role, it is required, at all times, that you hold a valid state driver’s license for the class of vehicle you are driving, maintain a clean motor vehicle report, and hold current automobile insurance at statutory limits. You must notify People Operations immediately regarding any change to your motor vehicle standing. CCMC may periodically review motor vehicle reports to ensure compliance with these requirements.

The physical requirements can vary, but generally, they may include:

  • Mobility: Ability to walk the grounds long distances in various weather conditions.
  • Lifting and Carrying: Occasionally lifting and carrying supplies or equipment up to 25 pounds.
  • Extended Sitting or Standing: Capability to sit or stand for extended periods during meetings or events.
  • Manual Dexterity: Skills in using technology, including computers and mobile devices.
  • Driving: Ability to operate vehicle to perform certain job functions. (Please note: We will request and review an MVR at the time of hire and on a periodic basis thereafter to ensure that employees maintain a satisfactory driving status.)
