Administrative Assistant

Location: Surprise, AZ

Administrative Assistant - Happy Trials (Surprise, AZ)

The position is a full-time position with time split between the HTCA Office and Activities Office.

Summary
The primary duties of this position will be:
• Monitor and update the HTCA website, create web forms and update existing forms regularly.
• Maintain new owner information and process age verification forms.
• Administer the RV/Vehicle Storage program including lease expiration notices and collection and processing of resident payments.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

• Monitor and update the HTCA website including current web forms and creation of new web forms as needed
• Create and post weekly news to the website
• Upload documents to the website
• Monitor and update members’ accounts
• Help residents as needed with the website navigation
• Assist in maintaining the Committees and club/Organizations forms and files
• Assist day-to-day operations of Activities
• Assist in the planning of special events
• Be willing to work flexible hours if needed
• Assist with Receptionist duties as needed for HTCA Office and Activities

Additional Duties
• Attend required HTCA Meetings
• Assist with the phones
• Maintain full knowledge of the Association’s Rules and Regulations
• Create flyers/forms as needed

Education and/or Experience
High School diploma and three to five year’s office experience. Two years of experience with creating and updating fillable web forms. Must demonstrate computer literacy.

Language Skills
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Have the ability to write routine reports, and correspondence and to speak effectively before groups of customers or employees of HTCA.

Mathematical Skills
Ability to calculate figures and knowledge of basic bookkeeping, finance, and accounting procedures.

Reasoning Ability
Have the ability to solve practical problems and deal with a variety of concrete variables in situations and interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Certificates, Licenses, Registrations
• Valid Driver’s License
• State Mandated Vehicle Insurance

Physical Demands
The physical demands described here are representative of those that must be met by an associate to successfully perform the essential functions of this job.
• Must be able to lift 25 lbs.
• Must be able to sit or stand for extended periods.
• Must be able to walk around all areas of the property. This could include long walks and walking/standing on uneven surfaces during various types of weather conditions if required.

Work Environment
• The work environment characteristics are normal office conditions.
• Full-time position, hours over and above normal office hours can occur.
